CIVIC is opening a second headquarters in the Hague and requires the support of an Operations Manager who has experience running an office and providing IT support.


About the Position

The operations manager will manage The Hague (TH) office and be the point person in charge of managing CIVIC’s technology platforms. It is envisioned that this person will spend 50% of his/her time on office management/maintaining registration and the remaining 50% on IT support and troubleshooting.

 

This position requires professionalism, endless patience, strong communication skills, attention to detail, and the ability to think logically and follow a process through to completion with minimal supervision.


Key Functions

Office management:

  • Search for, set up and manage the Hague office.
  • Manage physical office, relationships with vendors, budget and expenditures
  • Purchase, track and maintain office equipment and inventory in line with organizational policies
  • Support onboarding and relocation of staff
  • Guide implementation of operations policies and processes

Registration:

  • Work with Dutch authorities to ensure that CIVIC is properly registered in the Netherlands.
  • Support the maintenance of CIVIC’s registration in the Netherlands.

Global Information Technology:

  • Manage CIVIC’s cloud-based IT systems and applications, including access staff access
  • Conduct IT trainings and troubleshoot IT issues
  • Collaborate with CIVIC’s global office staff and IT consultants to maintain and upgrade IT systems
  • Learn and understand CIVIC’s IT needs and keep up to date on industry best practices and solutions to meet CIVIC’s global needs.
  • Proactively identify where systems and processes can be streamlined, propose a plan and successfully execute


Requirements/Qualifications

  • Required languages: English and Dutch
  • Familiarity with The Hague
  • 5-8 years of relevant experience in operations and/or office management
  • Experience with IT platforms, including Microsoft Office (Word, Excel), Google Apps (Gmail, Calendar, Google Drive, G+, etc.), Slack, Dropbox
  • Preferred: experience providing IT support
  • Good interpersonal skills to effectively interact with all levels of staff and all cultures
  • Patience and ability to work with varying levels of IT literacy
  • Service-friendly attitude and willingness to support teammates
  • Capacity to work both independently and as a member of a team
